What goes on a company stamp: the six lines that matter

What to put on a company stamp is mostly a question of what to leave off: almost every bad one is bad for the same reason, too much on it. A 40mm circle holds about as much text as a business card holds comfortably, and the temptation is to fit the whole letterhead into it.
There are six candidate company stamp lines. Most stamps need three or four of them.
1. The registered name
Not the trading name, not the short version everybody uses. The registered name on the stamp is the name as registered, because the stamp exists to identify the legal entity, and a name that does not match the register is the thing a careful reader notices.
If the registered name is long, it belongs in the ring text around the top, where a curve gives it more room than a straight line would.
2. The registration number
Whatever your jurisdiction issues: company number, CIN, ACN, UEN, registration number. This is the line that makes the stamp verifiable, because a name can be shared and a number cannot.
One number, not two. Where a country issues both a company number and a tax number, they belong on different marks: the entity number on the seal, the tax number on the invoice stamp.
3. The address, sometimes
An address is right on an office stamp that is also used as a return-address mark, and wrong on a seal. It is also the line most likely to change, and a stamp reprinted because the office moved is a stamp that was carrying the wrong line.
4. A title or a role
"Director", "Authorised Signatory", "For and on behalf of". This turns a mark that says who into a mark that says who is speaking, which is what a countersignature needs.

5. A date
Only if the stamp is used for dated actions: received, approved, paid. A seal does not want a date, because a seal is not an event.
Where a date is wanted, keep it as live text rather than drawn into the picture, so it can be set correctly each time rather than being right on one day.
6. A signature line
A short rule under the centre block, for a signature across the mark. Common on certified copies and on documents where the stamp alone is not accepted.
Company stamp wording that does not belong
A logo with fine detail. A stamp is one ink at about 15mm of usable width. Hairlines, gradients and small type disappear. If the logo has a simplified single-colour version, that is the one.
A slogan. Nobody has ever needed a marketing line on a seal.
A website and a phone number and an email. Pick one, if any. These belong on the letterhead, which is where people look for them.
The company stamp design that works
Registered name in the top ring text. Registration number in the bottom ring. Two or three centre lines: the title, the date line, and a rule to sign across. Single or double border, one ink colour.
That is a stamp somebody can read at 40mm, and it is the layout most of the templates start from.
Questions people ask
What should be written on a company stamp?
The registered name and the registration number, at a minimum. Add the address if the stamp doubles as a return-address mark, a title such as Director if it sits beside a signature, and a date line only if the stamp records an event.
Does a company stamp need the registration number?
It is the line that makes the mark verifiable, because two companies can share a name and cannot share a number. Where a country issues both a company number and a tax number, put the company number on the seal and keep the tax number for the invoice stamp.
What size should a company stamp be?
The company stamp size that works is between 35mm and 45mm across for a round seal, and around 45mm by 15mm for a rectangular office stamp. Larger than that and it reads as a graphic rather than as a stamp.
Can I put my logo on a company stamp?
Yes, if it is a single colour version with no hairlines or gradients: a stamp is one ink across about 15mm of usable width, and fine detail disappears. Logo and monogram stamps covers what survives at that size.
