Serial numbers on a stamp: what they prove and how to keep them unique

A stamp with a number on it stops being a decoration and becomes a record. Certificate 00417 is a thing you can look up. "A certificate" is not.
A numbering stamp has existed in the physical world for a long time, as banks of small wheels that advance one step per impression. They work, they cost more than a plain stamp, and they have one failure mode: two of them in the same office, both starting at 1.
What a number is for
Retrieval. Somebody rings up about a certified copy issued in March. With a number, you find it. Without one, you look through March.
Detecting a gap. Sequential numbers make a missing document visible. This is the whole basis of controlled stationery in audit work.
Proving you issued it. A number that matches your register is corroboration that the document came from you, which matters most for the documents people forge: certificates, receipts, permits.
Keeping a numbering stamp's sequence unique
This is the part that breaks. Two people stamping from two laptops, or one person on a phone and a desktop, will hand out the same number twice unless the sequence is held in one place.
A saved stamp here owns its own counter, held server side. When a number is issued it is claimed under a lock, so two tabs and two devices cannot receive the same one. The counter belongs to the stamp, so an office with a certified-copy stamp and a receipt stamp keeps two independent sequences that do not interfere.

Designing the number in
A few things make a numbered stamp usable:
A prefix. CTC-00417 says which sequence it belongs to. A bare 00417 does not.
Fixed width. Pad to a fixed number of digits, so 417 and 41700 do not look alike at a glance and so the numbers sort correctly in a list.
A position that is always the same. Bottom right of the centre block, on every stamp you own. Somebody reading a stack of them should not have to hunt.
Room to grow. Five digits costs nothing now and saves a redesign at 9,999.
Where the number should live in the file
Keep it as live text in the Word version, the same way the date is kept, so the person reusing the file can see and edit it. In the image formats it is drawn in, which is correct: an issued number should not be editable on a document that has already gone out.
The register
The stamp gives you the number. Keeping a line per number, what it was issued for and to whom, is what makes it worth having. A spreadsheet is enough.
Saved stamps and their counters live in the account area of the stamp maker.
Questions people ask
How does sequential numbering stay unique?
Here the counter is held server side and handed out under a lock, so two people downloading at the same moment get two different numbers. A physical numbering stamp cannot do that: two devices in one office both start at 1 and the duplicates are only found later.
Can I start the sequence at a specific number?
Yes. Set the starting value to continue from wherever your existing register has reached, so the digital stamp picks up the sequence rather than restarting it.
What is a serial number stamp used for?
Certificate numbering, invoices, vouchers, exhibits, case files and batch records, and as a document reference stamp on anything that has to be findable later: anything where you have to be able to point at one document and say which one it was. The number is what makes the mark a record rather than a decoration.
Does the number stay editable after download?
In the Word file, yes: the serial is real text you can retype. In the PNG, JPG, SVG and PDF it is drawn into the picture, like everything else on them.
