Date stamps: why yesterday's date keeps showing up, and the fix

A date stamp fails in one of two ways, and both of them are quiet.

The rubber kind has date wheels that somebody has to turn every morning. On the morning nobody turns them, every document that day carries yesterday. The failure is invisible until an invoice is queried weeks later.

The digital kind usually fails worse: the date is drawn into the image. It was right on the day the file was made and it has been wrong ever since, on every document it has touched.

The fix: a date stamp that fills itself in

A date stamp here can be set to fill in the current date at the moment it is used, rather than carrying a date from when it was designed. Two things follow:

The date on the document is the date of the action. Which is the only reason the date is on the stamp at all.

Nobody has to remember anything. The failure mode that produces a month of documents dated 3 March disappears.

The date can also be typed, for the case where you are stamping something that happened last Tuesday. It should be easy to override and hard to leave wrong by accident, which is the opposite of a wheel.

Keeping it as text

Images of dates cannot be corrected. The Word file in the download pack keeps the date as real text, so somebody reusing the stamp next month retypes one line rather than asking for a new file. The same applies to a reference number.

Which date format

This matters more than it should, because 03/04/2026 is two different days depending on who is reading.

DD/MM/YYYY across most of the world. MM/DD/YYYY in the United States. Both are ambiguous to the other reader.

DD MMM YYYY, as in 08 SEP 2026, is unambiguous everywhere and fits on a stamp. If documents cross borders, use it. It also sorts sensibly when the stamp is read as a filing reference.

YYYY-MM-DD is the ISO form. Unambiguous, sorts perfectly, and reads as a computer talking. Right for a technical document, cold on a certificate.

The wording next to the date

A bare date says nothing. RECEIVED with a date says when it arrived, which is the whole point of the mark, and it is what a dispute about a deadline turns on. Other useful pairs: PAID, APPROVED, FILED, ENTERED, CHECKED.

Keep the action word large and the date under it. The action is what a reader is scanning for.

Time as well as date

A goods-in or mailroom stamp sometimes needs the time. It is worth adding only if somebody will actually write it: a printed time that is always 09:00 is worse than no time.

Date and time options sit in the line editor in the stamp maker.

Questions people ask

How do I make a stamp whose date updates itself?

Leave the date field empty in the editor. An empty date means "whenever this is used", so the stamp fills in the current date at the moment the file is generated rather than showing the day it was designed.

Can I fix the date to one specific day?

Yes. Type the date instead of leaving it blank and it stays put, which is what you want when you are recording a particular day rather than dating today's paperwork.

Which date format should a stamp use?

The date format on a stamp should be the unambiguous one: a named month, as in 09 SEP 2026. Numeric formats read as day-month in most of the world and month-day in the United States, and a document that travels cannot tell the reader which one you meant.

Why does my received stamp with date show yesterday?

Because a self inking stamp with a date carries wheels somebody has to turn, and nobody turned them this morning. That is the failure mode a digital date stamp removes: there is nothing to turn.
